Fellow Kin,
Our New Kin year is almost upon us. While members get ready to send their children back to school and get geared up for another year of making KIN an important factor in their respective communities, we need to remember that we have to have fun doing what we do.

As stated by Governor Len in his message this month we have lost some clubs and our numbers are down. We may be down but we are NOT out. We have the RESOURCES and experience to turn our Membership dilemma around and grow both our clubs and District.

The most important RESOURCE that we have is YOU..YOU make all the difference in both your club and community and without you and all your efforts there would be no club in your community.

I have presented a Membership program to all the Deputy Governor’s that attended DLS and PRETERM in May of this year, and they have stated that they will work with the District Executive to present this to all clubs.

I will be making a presentation of this program at KIN KOLLEGE in October and would welcome all of you to attend. I will also be at FLC making the same presentation, however more in-depth.

I would suggest that every Club President consider appointing a membership chairperson and send them to FLC.

Should you as a member of District 8 have any questions/concerns/comments on how WE collectively can grow our membership and make DISTRICT 8 the best District in the country I would welcome your comments and input.

I can come to your meeting or event no matter where it is, all I would require is enough lead time to adjust my schedule.

MEMBERSHIP
It is safe to say that WE as a whole (Clubs/Zones/Districts) are suffering from growth and our membership has declined drastically over the past several years. This decline will not stop and will get worse, if WE collectively allow it to continue.
Although you may not be aware of this, YOU as a member are among the privileged few that have been tasked to continue the legacy that Hal Rogers created back in 1920. Today YOU have a choice, as you do with many things in your daily life, be a part of the continuation of the legacy or be a part of the demise.
In today’s busy environment we all have other things to do, be it family, job, and other social obligations. Yet we still remain vibrant in our clubs and communities. While the economy is not the best, this is the time to recruit new members and forge our relationships in our communities with both new charities and corporate partners. While every charity is working harder and harder to meet their budget through corporate sponsors, these sponsors have had to scale back their donations, thus through the domino effect reducing funds being raised.
Local businesses are not sending their staff out for training, thus reducing their own effectiveness to their clients. Their staff is placed in positions to which they have limited training and are “flying by the seat of their pants”.
We as an Association have the tools to help both local businesses and charities and increase our membership via these tools. They NEED to be implemented to ensure not only our own longevity but also the longevity of the local businesses and charities.
This plan is simple, and to the point.
We target businesses in our communities where the owners have been making contributions to local charities (local hospital, cancer foundation, heart and stroke, etc) and we approach them in helping them run a project to raise both money and awareness for their charity.
They no longer need to make their corporate donation (other than seed money for the project/event), however they will help supply the manpower the day of the event.

In exchange for them allowing us to help implement their personal project they will provide the following to the local clubs.
• A 3 year commitment of at least 2 members of their staff to join the club and their company will pay their dues.
• Return of their seed money costs required to get project/event off the ground.
• 15% fee of GROSS profits raised to which we can place in our service accounts
We as clubs will provide the following commitments to our new corporate partners.
• Keep them assessed of the process of the project/event
• Teach their staff how to organize/run/report and speak in public in regards to their event
• Teach their staff modern business and ethics which will be in effect free “business training”
By our clubs getting involved with the local businesses it creates greater awareness of both the corporate partner as well as the local club. Our exposure increases ten-fold and provides the clubs with another opportunity to increase membership.
The local charities also benefit as we are collectively in the community making a concerted effort to help them reach their budgets.
This is a WIN/WIN enterprise that benefits not only the club, it also increase the exposure for the local business through word of mouth advertising.

How do we get the campaign started?
• YOU purchase/obtain the disc provided by the local municipal government listing all businesses in the community.
• YOU draft a letter directly to the General Manger/Owner/President of the business asking them to attend a meeting with at least 2 of their staff members.
• Assign members to make follow up calls or email or both and ask if they have received the letter and if they would be attending.
• Follow up the day of the event.
• Have greeters at the door welcoming everyone.
• Have pre-printed name badges with the person’s name and company name.
• Dress is business casual
• Presenters will be dressed in business attire
• Have package prepared explaining how the program works and how to get involved.
• YOU hold a general meeting with our own members and the “invited guests” and introduce the plan to the invited guests.
• YOU invite local charities that YOU have assisted and they can tell the meeting how much of difference YOU have made for their charities and how well organized YOUR club is.
• Invite local Mayor or municipal councilman/woman to also attest to how we help and the differences we make in the communities.
• Invite local media to introduce the concept. (Print/Tv)
• Invite local Kin Officials (Deputy Governor/National Membership Director/ National President/Executive Director/Governor) whoever is available to assist and make your club look good. (no over-kill)
• Have a question and answer period to ensure message has been conveyed properly.
• Invite businesses to become a part of the “partnership/relationship”.
• Thank everyone for attending.
• Have snacks prepared for this event (Pop/Coffee/Tea….NO ALOCHOL).
As this is a membership program YOU can draw funds from the district membership director to assist with this project (after all this is a part of what our dues go towards). Present the concept and invite the local businesses to be a part of their community where they do business and help to make a difference.

Sample Letter
Dear………….
This is not a letter to solicit your business for a donation!! We understand that is today’s economy everyone has had to streamline how they operate and that your business has probably had to reduce or select how your corporate donations are made and in what amounts.
We the Kinsmen Club of Erin Mills are “a not for profit organization serving the communities greatest needs” and are celebrating over 25 years of community service. We would like to invite you and 2 of your staff members to a meeting in which we can help you raise funds for your favorite charity.
We are interested in becoming your “Partners” in fund raising. We have a program that would allow your business to increase their “corporate exposure” within the community as well continue to make those greatly needed funds for your favorite charity. All we ask of you is to attend a meeting at the Tom Charter Baseball Hall on September 12th 2010, to listen to a presentation that will help both your business and the local community.
There will be a presentation followed by a question and answer period and refreshments afterwards.
Again we are NOT soliciting your company for a donation, we are simply extending an invitation to view a presentation and become involved in making a difference to your favorite charity.
We will follow up this letter with a telephone call directly to you.
Thank you for the opportunity to be of service and we look forwarding to seeing you on September 12th 2010

Fellow Kin

What a great year it has been. District Convention was awesome despite the popcorn...

The District Council has really made every effort to keep dues down and cut corners whenever possible. We have already taken a steps to combine meetings to avoid multiple weekends away reducing the costs of travel and hotels.

It is not just the responsibility of the District Council to keep dues down…it is everyone's responsibility.

Some of the reasons that dues are going up and have been is very simply this…MEMBERSHIP. The Zones, District and even National have not gotten any larger in leaders, but the costs to keep people in place and have programs to educate our members are still there weather we have 500 members or 600 members, but if we can divide that cost over 600 members it is going to be less than dividing it by 500 members. More members is less dues really that’s the bottom line.

I wish to extend my most sincere gratitude to everyone who has made a difference this year and brought in some of these great new members! Really it’s you who is making a difference not only to your new member and your community but also to Kin a whole.

Please keep in mind that when you submit your paperwork for a new member and it does not have a sponsor listed, I have no way of knowing or recognizing those individuals and as you can see throughout the year there have been several.

Thank you for what I consider a very successful year. I feel this role as Membership Director has been the most rewarding position I have ever held.

I would like to thank Governor Steve for asking me to be a part of your team and I look forward to serving again in the upcoming year as your membership director for 2009-2010 on Governor-Elect Ed’s team.

If you have any ideals or feedback please feel free to approach me anytime over the weekend or give me a call, email, letter whatever.

Lastly, please don’t forget to put in your application for the Denis Heaps Membership Award that goes from July 1, 2008 to June 30, 2009 and will be presented at FLC in Sault Ste. Marie October 16, 17, 18.

[edit] District Eight Kin Minimum Standards

Fellow Kin:

From the feedback gathered through all the D8 zones conferences I would like to propose a set of minimal standards that will define the “Kin Experience” in Central Ontario. These aren’t “regulatory” but simply suggestions of how we might want to conduct the affairs of Kin in District Eight…

District Eight Kin feedback would suggest we support the following, as a minimum:

1. Monthly Meetings, (Not necessarily a dinner meeting)

2. Agendas used to guide meeting

3. Protocol to include

i) O Canada ii) A Gavel/Bell preferred iii) Objects and Aims recited iv Grace (if dinner meeting) v) Flags, in current edition vi) Kin song not necessary, but nice

4.Clubs complete one service/fundraising project in the spring and fall, each with a social function attached

5.The clubs in District Eight remain committed to Cystic Fibrosis

6.Club communication should least start with electronic means but not preclude a basic bulletin (cover page, minutes, roster and calendar)

7.Club executive should include President, Treasurer and Secretary

8.Clubs should have a membership plan and a risk management function

These are minimum standards. As clubs go forward they can adopt more advanced standards ie. Image programme, the song, more projects and fundraising, etc.

Warning Signs for Clubs in Trouble

One of these on its own may not mean that a club is in trouble, but a combination of some may signal a club could use a boost. Keep these in mind when talking to a club.

Steady decline in club membership over a number of years (RECRUITMENT OR RETENTION SEMINAR)

Failure to bring in new members (RECRUITMENT SEMINAR)

Members claim they are “too busy” to undertake new projects (RETENTION OR RECRUITMENT SEMINAR)

Resentment over amount of National and District mail, reporting, and cost of dues or won’t pay dues (FIND OUT WHY/SUGGEST WAYS TO RAISE $ FOR GENERAL ACCOUNT/EDUCATION “WHAT YOU GET FOR YOUR DUES”, ETC)

Lack of club representation at Zone and District functions (ASSIST WITH TRANSPORTATION AND COSTS OR GET THEM TO HOST A FUNCTION)

Little or no response to phone calls and/or invitations (OPEN COMMUNICATION CHANNELS – TAKE THE FIRST STEP)

President speaks negatively about the club & members speak negatively about the president/officers (RETENTION SEMINAR TO SET PRIORTIES)

Club whose main purpose (sometimes only purpose) is keeping clubhouse going (RETENTION SEMINAR)

Talk about disbanding (FIND OUT WHY AND THEN PROCEED)

Resistance to change despite request for ideas (EDUCATION)

Low or no service contributions (GIVE IDEAS AND SUGGESTIONS/HANDS ON SERVICE/ARRANGE FOR A CF SPEAKER TO VISIT THEIR CLUB)

No leadership takers (EDUCATION & TRAINING THROUGH DG/DMD/PRESIDENT-ELECT SCHOOL/FORMER KIN/CLUB PRESIDENT HANDBOOK)

National bashing (EDUCATION)

No community p.r. (TEACH ABOUT THE BENEFITS OF PR)

Talk about forming a KIN club to help membership (FIND OUT THE ROOT OF THEIR PROBLEMS AND ASSIST)

Lack of meetings (FIND OUT IF THIS IS AN ISSUE AND WHAT % OF ATTENDANCE IS AT MEETINGS)

Long, boring meetings (EDUCATION & TRAINING/PROMOTE SPEAKERS/ATTEND PRESIDENT-ELECT SEMINAR)

No fellowship or only fellowship (RETENTION SEMINAR – FUN AND SERVICE!)
